The client approval workflow that actually gets responses
Every agency owner knows this pain:
You send 5 posts to a client on Monday for review. Wednesday comes. No response. You gently follow up. Nothing. Thursday you call. "Oh! Yeah, I meant to look at those."
Social content that was TIME-sensitive is now stale. Your calendar has gaps. Your team is frustrated.
After years of trying different approval systems, here's what actually works.
The 3 Rules of Approvals
Rule 1: Friction is the enemy
Every extra click, login, or app your client has to open is a reason they don't respond. Design your approval flow around ONE THING: make it as easy as clicking a link.Rule 2: Deadlines aren't optional
Without a deadline, approval is a "whenever" task. With a deadline, it's a specific action.Rule 3: Batches, not one-offs
Don't send 1 post for approval on Monday and another Tuesday. Batch 5-10 posts every Monday morning. It becomes a routine. The Workflow
Monday, 9am: Prepare the batch
Have 5-10 posts scheduled for the week. Screenshot the calendar or export a preview.Monday, 9:15am: Send with deadline
Here's the message template that works:> Subject: This week's content for {ClientName} — need approval by Wed 3pm > > Hey {name}, > > Batch of posts for this week ready for your review. Tap the link on your phone — no login needed. > > Take 2 minutes: 👍 approve or ✎ leave a comment. > > {LINK} > > If I don't hear back by Wednesday 3pm, I'll assume good to go and publish on schedule. > > Thanks!
That last line is the magic. "If I don't hear back..." puts the burden of action on THEM to say no, not on YOU to chase.
Tuesday: If you get comments, address them
They'll comment on 1-2 posts. Reply directly. Edit. Send a fresh link if they need to re-review.Wednesday 3pm: Publish
Approved posts publish on schedule. Unresponded posts publish on schedule. You wrote the deadline. You honor it.Why This Works
Frictionless
Mobile approval links (like Orbit's) let clients approve from their phone in 30 seconds. Compare to:- "Log into our project management tool and comment" (dead)
- "Review the Google Doc" (dead)
- "Check your email attachments" (dead)
Time-bounded
Deadlines eliminate the "whenever" trap. When your client sees a deadline, their brain treats it like a real task, not a nagging obligation.Consent through silence
The classic contract clause: silence is agreement. Your client agreed to your process when they signed on. They CAN say no anytime. If they don't, you publish. Both parties benefit — content stays fresh, your team stays productive. What Not to Do
"Just email me the posts"
No. Emails get lost. Send them a REVIEW LINK.Follow up daily
One follow-up. That's it. Chasing signals desperation and shifts the power dynamic wrong.Extend deadlines because they "got busy"
No. If you extend once, you extend always. Deadlines lose meaning.Send unfinished drafts
Every post you send should be ready to publish AS-IS. If it needs more work, don't send it yet. Results with This System
